Avantis makes it easy for you to share lists with members from your organization, either based on sharing them directly or else by sharing a search that utilizes them as criteria, passively. There is also an option for admins to create globally shared lists that are available to everyone in the organization.

Types of Lists
There are two types of lists available on Avantis and we differentiate them by calling them "lists" vs "folders"
Issuer Folders - "Folders" refers to Issuer Folders, which are folders that contain lists of issuers that you can use to limit search results in ANY dataset to only results filed or published by issuers contained in one or more selected lists
Results Lists - "Lists" refers to lists of documents or records - typically filings, press releases, insider transaction summaries, or audit fee or auditor change results - findable in the dataset in which you are running your search. Each of these lists, such as a "Filing List", contains documents or records (in the case of Insider Transactions, for example, which doesn't contain documents but only records) instead of Issuers. When you limit a search by Filing List, for example, your results will be limited to a subset of the documents or records you have in that list.

To share a folder or list
- Locate the folder or list you want to share by clicking into the appropriate dropdown in either the first or second position among your criteria (see screenshot above) to display all available lists of that type
- Click on the share icon beside the list you want to share (see screenshot above)
- Add members to share with
- Set Share Role permissions (see screenshot above)
- Click on "Save"
Share Roles
There are three possible share roles and they differ in what they can do:
Viewers
- This is the default role for regular members
- Viewers can use the shared lists but cannot edit, delete, or re-share them with others
Owners
- Owners can use the shared lists and can edit, delete, or re-share them
- A list can have several owners - all of them having identical privileges
Admins
- Admin Share Roles are not determined by the owner sharing the list, but are properties associated with certain recipients
- Admins, by default, share the same powers as owners of a search - that is they can edit it, delete it, or re-share it
- Admins can also make a list "Public" instead of "Private" - ensuring that every member on the account sees it as an option to add to their searches and that the list doesn't have to be specifically shared with any member since all can access it
Removing members from a shared list
- Simply return to the sharing screen using the same steps as above
- Remove any members you don't want shared on any search of which you're the owner
- When removing members, you must leave at least one member on the share
- This one member would most likely be yourself, as owner of the search, but it can be someone else, who will then inherit ownership status from you if you remove yourself as owner
Making Lists Public
- Only admins can make lists public
- To make your list public, please share with an admin and ask them to set it to public
Sharing Lists Passively via Shared Search
If you are sharing any search that happens to use lists and folders among its criteria, you will get a confirmation screen asking if you'd like to share the underlying folder(s) or list(s) as well. Your choices will be:
- Yes, add as Owner - assigns the recipient the role of Owner, which in turn allows the member in question to edit, modify, re-share, or even delete the search or share settings associated with it
- Yes, add as Viewer - allows the recipient of the shared list/folder to use it as a viewer would but not to edit, modify, re-share, or delete the list
- No - ensures the search is not shared since the search cannot be divorced from its criteria
