Importing Issuer Lists

Avantis allows you to upload or import pre-made issuer lists in Excel format and save them to the platform in order to quickly and easily run searches against them.  Rather than naming, say, the same 80 issuers every time you want to search for their filings, you can upload a list of them to Avantis and add them to future searches in one click.

Necessary Columns and the Import Template

  1. In order to successfully upload an issuer list, it must contain certain specific columns
  2. Downloading the import template will lay out the safest format in which to upload your issuer list in order to avoid errors
    1. You may paste your values into the template and upload it to Avantis
    2. You may organize any spreadsheet you have to match the order laid out in the import template and upload it to Avantis
  3. It is best to have columns A-D mimic those shown above in the screenshot:
    1. Column A - Issuer Name (helpful)
    2. Column B - Source (necessary)
    3. Column C - Profile/CIK# (ideal)
    4. Column D - Stock Symbol (helpful)
  4. At minimum, column B in your template MUST be Source (CA or US - see the import template for examples) or else the import will not work
  5. Ideally, column C is Profile/CIK# (issuer number) 
  6. If columns B and C are set up this way, and the information in them is accurate, your import will have no errors
  7. If you don't have Column C set to Profile/CIK#, Avantis will look at Columns A and D and try to match to the appropriate entity

Errors

​There was an error loading your file. Please upload a valid file

  1. This file is rejected - this means that column B is not Source (CA or US) and it must be source
  2. Modify your spreadsheet accordingly

Some of your issuers could not be uploaded

  1. The combination of information you have is not sufficient in some cases
  2. Some of your issuers will be uploaded and the rest will be relegated to a downloadable import exceptions file
    1. Download to import exceptions file to see which issuers were rejected
  3. Click on Import to import the rest of your issuers
  4. Fix the errors for the issuers in your exceptions file and then re-upload it OR if the number of exceptions is very low, you can search for these few entities and add them to your list by right clicking on them

Renaming your imported issuer list

  1. By default, your imported issuer list will be given the name of today's date and time of import
  2. Click on the pencil beside the issuer list name in your Issuer List criteria to rename it
